COP31 will take place at Antalya EXPO Center from 9 to 20 November 2026. The event will bring government representatives, climate specialists, business leaders, academics, civil society organisations and journalists from many countries to Antalya.

Moving a group from Antalya Airport to its hotel and managing daily conference travel requires more planning than an individual transfer. Passenger numbers, flights, luggage, technical equipment, accommodation and meeting schedules must be considered together.

Group transportation for COP31

A group transfer allows participants arriving on the same flight or travelling under the same programme to use one coordinated transportation plan.

When the appropriate vehicle capacity is selected, the group can travel together from the airport to its hotel, an official shuttle stop or an authorised conference drop-off area. This can reduce the need for several separate bookings and make communication easier for the group coordinator.

Group transportation may be arranged for:

  • Government and public-sector delegations
  • Embassy and consulate teams
  • Corporate executives and employees
  • International organisations
  • Non-governmental organisations
  • Universities and research groups
  • Journalists and production crews
  • Speakers and panel participants
  • Event operations personnel
  • Independent participants staying at the same hotel

The combined passenger and luggage capacity must be checked before confirming that the whole group can use one vehicle.

Group reception at Antalya Airport

All flight information should be supplied during booking. When the entire group arrives on one flight, a shared vehicle can be planned around the estimated landing time.

If participants arrive on different flights, the interval between arrivals should be assessed. Closely timed flights may be combined with an agreed waiting and meeting arrangement. Separate vehicles may be more appropriate when the difference is long, preventing early arrivals from waiting unnecessarily.

Domestic and international passengers may exit through different terminals. A passenger list containing each person’s flight, telephone number and terminal information supports a more organised operation.

Baggage delivery can take different amounts of time for each passenger. When a group is travelling together, departure from the airport normally takes place after all registered participants have completed the meeting and luggage process.

VIP Minibus transportation

A VIP Minibus is suitable for larger teams that wish to travel together. The vehicle must be selected according to usable passenger and luggage capacity rather than seat count alone.

If every participant carries a large suitcase, the theoretical maximum seating capacity may not be appropriate. Cameras, tripods, exhibition material and production cases also reduce the available storage area.

The booking should therefore include:

  • Number of adult and child passengers
  • Number of large and cabin-size bags
  • Camera and broadcast equipment
  • Wheelchairs or mobility aids
  • Folding equipment
  • Event and exhibition material
  • Protocol or special security requirements

If the requirements exceed one vehicle’s safe capacity, a coordinated multi-vehicle plan can be prepared.

VIP Vans and multi-vehicle planning

A VIP Van is useful for a group that needs more room than a standard vehicle but does not require a full-size minibus. A delegation can also use separate categories, such as a Mercedes Vito for senior representatives and a Van or Minibus for the wider team.

Assigning a passenger list to each vehicle helps avoid confusion. The coordinator can tell every participant where to meet and which vehicle to use.

Vehicles travelling as a group may become separated by traffic lights, security checks or temporary restrictions. The destination and meeting procedure should therefore be clear to all drivers and passengers.

Group transfers from hotels to COP31

Participants may stay in Aksu, Lara, Kundu, Belek, central Antalya, Muratpaşa, Konyaaltı and other districts.

Complimentary shuttles are planned between designated official accommodation facilities and the conference venue. Not every hotel or private accommodation address will necessarily be served.

Even groups staying at an official hotel may prefer a private minibus when:

  • They need to arrive before the first shuttle
  • The team wants to travel together
  • A side event is included in the programme
  • Significant technical equipment is carried
  • A late return is required
  • Several locations must be visited
  • The official timetable cannot accommodate the itinerary

4 Seasons Transfer does not operate the official COP31 shuttle network. It offers independent private transportation based on the group’s submitted programme.

Vehicle access at the conference venue

A passenger’s COP31 accreditation does not automatically allow the private Minibus or transfer vehicle to enter the controlled conference perimeter.

Roads around the Blue Zone may be reserved for official or specifically accredited vehicles. The private transfer will use the closest drop-off point permitted by the responsible authorities.

If a security measure closes a route or changes the designated area, the driver will follow official directions. Guaranteed delivery directly to the Blue Zone entrance should not be promised.

World Leaders Summit transportation

The World Leaders Summit is scheduled for 11–12 November 2026. More extensive security measures may be introduced while heads of state, ministers and official delegations are travelling.

Group pickup times should include an additional margin for checkpoints, traffic diversions and temporary closures. A fixed route or exact journey time cannot be guaranteed.

The itinerary may be adjusted according to the latest operational information available on the service date.

Media and production teams

Transportation for journalists and production crews must be planned around equipment as well as people. Cameras, sound systems, lighting, tripods, computers and broadcast cases can occupy substantial luggage space.

A separate equipment vehicle may be required even when all team members could theoretically fit into one Minibus. Equipment dimensions and quantities should be declared before confirmation.

Media accreditation for passengers does not automatically provide controlled-area access for the vehicle. Passengers and equipment will be delivered to the closest permitted point.

Multi-day group transport

A vehicle or fleet may be scheduled for several days of the conference. The programme may include morning hotel pickup, conference drop-off, an agreed waiting period, side-event transportation and evening return.

Each day’s approximate start and finish time should be specified. A lead coordinator should be available to communicate timetable changes.

A service involving vehicle waiting is different from a standard one-way transfer. Driver working hours, waiting locations and daily operating conditions should be defined in the quotation.

Responsible sustainability language

Environmental claims relating to COP31 transportation must be accurate. A service should not be marketed as zero-emission or carbon-neutral unless the assigned vehicle and operation genuinely satisfy those descriptions.

Combining participants arriving on the same flight in a vehicle with suitable capacity may create a more organised transport plan than arranging many separate journeys. However, a precise environmental benefit should not be claimed without measurement.

Vehicle technology and environmental features should be confirmed during the booking process.
